Privacy Policy

This Privacy Policy (“Policy”) describes how Veros Inc. (“Veros,” “Company,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you access or use our website, online software platform, and any associated applications (collectively, the “Service”). This Policy applies to all users of the Service (“you,” “User,” or “Customer”).

1. Information We Collect

We collect the following categories of information:

(a) Account and Identity Information. When you create an account, we collect your name, email address, phone number, password (stored only in hashed form), date of birth, and residential and mailing addresses.

(b) Trust and Estate-Planning Information. To assist in generating a trust template, we collect information you provide about yourself, your family members, beneficiaries, trustees, and other persons you choose to include, including their names, contact details, dates of birth, relationships, and other personal details you elect to share.

(c) Financial and Asset Information. If you elect to connect or describe assets (including via third-party data aggregators such as Plaid), we may collect account types, institution names, balances, account numbers, and related asset descriptions. We do not store full bank credentials.

(d) Identity Verification Information.To meet legal, fiduciary, and know-your-customer (“KYC”) requirements, we may collect government-issued identification documents, taxpayer identification numbers, and related verification data.

(e) Payment Information. Payments are processed by our third-party payment processor. We do not store full payment card numbers on our servers. We retain limited transaction metadata (such as amount, date, status, and a processor-issued reference).

(f) Signature and Document Data. When you sign or execute documents through our integrated electronic-signature provider, we collect signature events, signed-document metadata, and the resulting executed documents.

(g) Communications. We collect the content of messages, voice interactions, support requests, and any other communications you send to us or through the Service, including transcripts generated from voice-based interactions with our AI assistant.

(h) Usage and Device Information. We automatically collect information about how you use the Service, including IP address, browser type, device identifiers, operating system, pages viewed, links clicked, timestamps, and referring URLs. We use cookies and similar technologies to enable core functionality, remember your session, and measure product usage.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Service;
  • Generate trust templates and assist in identifying a professional services provider, as described in our Terms and Conditions;
  • Create and manage your account and authenticate you;
  • Process payments and prevent fraud;
  • Communicate with you about your account, the Service, and important notices;
  • Conduct identity verification and meet legal, regulatory, and compliance obligations;
  • Monitor and analyze usage patterns to improve user experience and product features;
  • Protect the security, integrity, and availability of the Service; and
  • Comply with applicable law and respond to lawful requests from public authorities.

3. How We Share Your Information

We do not sell your personal information. We share information only as necessary to operate the Service and as described below:

(a) Service Providers. We share information with vendors and service providers that perform services on our behalf, including hosting, database, authentication, payment processing, electronic signature, identity verification, financial-account aggregation, email/SMS delivery, voice and artificial-intelligence processing, error monitoring, and analytics. These providers are contractually bound to handle your information consistently with this Policy and applicable law.

(b) Professional Services Providers. If you elect to name or engage a professional services provider (such as a corporate trustee, trust company, or attorney) through the Service, we may share information you authorize with that provider so they may assist you. Your relationship with any such provider is solely between you and that provider.

(c) Legal and Safety. We may disclose information when we believe in good faith that disclosure is necessary to (i) comply with a subpoena, court order, or other legal obligation; (ii) protect the rights, property, or safety of Veros, our users, or others; (iii) investigate or prevent fraud, security incidents, or abuse; or (iv) enforce our Terms and Conditions.

(d) Business Transfers. If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will provide notice (which may be by posting on the Service) before your information becomes subject to a different privacy policy.

(e) With Your Consent. We may share information for other purposes with your consent or at your direction.

4. Cookies and Tracking Technologies

We use cookies, local storage, and similar technologies to operate the Service, keep you signed in, remember your preferences, and measure how the Service is used. Some cookies are strictly necessary for the Service to function (for example, session and authentication cookies). Others support analytics and product improvement. You may configure your browser to refuse cookies, but parts of the Service may not function correctly without them.

5. Artificial Intelligence and Automated Processing

The Service uses artificial-intelligence and machine-learning tools to assist you (for example, generating draft clauses, summarizing inputs, and providing voice-based assistance). Inputs you provide to these features may be processed by third-party AI vendors under our agreements with them. We do not authorize these vendors to use your information to train their general models except as permitted by their published terms and our contracts. Outputs from AI tools are suggestions only and do not constitute legal, tax, or financial advice.

6. Data Retention

We retain your information for as long as your account is active and for so long thereafter as reasonably necessary to (i) provide the Service; (ii) comply with our legal, tax, accounting, and regulatory obligations; (iii) resolve disputes; and (iv) enforce our agreements. When information is no longer needed, we will delete or de-identify it, except where we are required or permitted by law to retain it.

7. Security

We implement administrative, technical, and physical safeguards designed to protect your information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit, role-based access controls, row-level database security policies, and audit logging. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for promptly notifying us of any unauthorized use of your account.

8. Your Choices and Rights

You may review and update certain account information by signing into the Service. You may request to access, correct, or delete personal information we hold about you, subject to legal and contractual record-retention obligations, by contacting us using the information below.

Depending on your jurisdiction, you may have additional rights under applicable privacy laws, including the right to (i) request access to your personal information, (ii) request correction or deletion, (iii) request restriction of certain processing, (iv) request portability of certain information, and (v) lodge a complaint with a supervisory authority. We will respond to verified requests as required by applicable law. We do not sell personal information and do not process personal information for cross-context behavioral advertising.

9. Children’s Privacy

The Service is intended for adults aged 18 and older. We do not knowingly collect personal information from children under 18. If you believe a child has provided personal information to us, please contact us and we will take steps to delete it.

10. International Users

The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States and other jurisdictions whose data-protection laws may differ from those in your country. By using the Service, you consent to such transfers.

11. Third-Party Links and Services

The Service may contain links to third-party websites or services that are not operated by us. We are not responsible for the content, privacy practices, or security of such third parties. We encourage you to read the privacy policies of any third-party services you use.

12. Changes to This Policy

We may modify, amend, or update this Policy at any time in our sole discretion. We will provide notice of material changes by one or more of the following methods: email to the address associated with your account; posting of the revised Policy on the Service; a prominent notice or banner displayed when you log into your account; or any other reasonable method of notification. By continuing to access or use the Service after the effective date of the revised Policy, you agree to the updated Policy. If you do not agree, your sole remedy is to stop using the Service and terminate your account before the effective date of the changes.
